Private Industry Meetings Information & Regulations

Concomitant activities & Private Industry Meetings

Concomitant activities such as internal meetings involving delegates, press conferences, educational or promotional activities taking place within or outside the congress centre and on the virtual congress platform are allowed but concomitant with or during breaks in the official ESMO Congress educational and scientific programme are subject to ESMO approval.

ESMO allows industries to organise staff meetings, briefings, advisory boards, client meetings or other type of closed meetings within the congress centre.

Meetings can be organised from Thursday, 1 December to Sunday, 4 December from 08:00-18:00.

You can search for meeting spaces independently (not through ESMO), provided you first submit the meeting approval request. For meeting room booking and/or meeting approval request, please contact asiacongress@esmo.org by 4 November.

The following requirements must be respected:

• Meeting “is closed” and by invitation only
• Each company is responsible for the meeting content. ESMO is not endorsing any private meeting
• Meeting is not promoted in the congress centre or in any ESMO Asia 2022 publications
• Small meetings may take place in parallel with the official ESMO Asia Congress educational and scientific programme provided they do not involve groups larger than 35 people
• If you plan to have an ESMO Asia 2022 Speaker at your session make sure your chosen meeting slot does not conflict with his/her session(s)
• Media should not be invited and are not permitted to attend the meeting

Important notes:

• Assignment: The spaces will be assigned on a first-come, first-served basis
• Layout: the meeting spaces will be given in a specific layout. Any set-up and dismantling time needed for the Private Industry Meeting must be included in the reserved slot of time
• AV/IT: the rental of the rooms will include basic AV/IT equipment (screen, projector, Wi-Fi). For additional technical equipment orders, please contact av@liveproductions.com.sg
• Signage: a roll-up can be placed outside the rooms for full day reservations only. For bookings for less than one day no signage is allowed. All the roll-ups should be removed at the end of the meeting. No other type of signage is allowed. Registration table outside the rooms will be subject to the venue’s approval
• F&B: no F&B will be included in the rental. For any F&B orders, please contact bibiana.lau@suntecsingapore.com

Access to Meeting Rooms

Attendees with a badge will be able to access the venue.

Note: If your meeting is scheduled very early in the morning, please make sure the badges are collected in advance.

Unofficial satellite symposia or similar events

During the period beginning Thursday, 1 December 2022 through to Sunday, 4 December 2022, ESMO does not allow any corporateorganised satellite symposia or similar events to take place on other days and in other places except on Friday 2, Saturday 3 and Sunday 4 December 2022 in the official venue or virtual platform.
