Registration fees must be paid in full by the appropriate deadline.
Payment procedures
The following methods of payment are accepted:
- Credit card: Visa, Euro/MasterCard and American Express. Diners is not accepted.
Credit card transactions over € 50,000 will incur a 4% surcharge and can only be made by contacting groups@esmo.org. ESMO will recharge 4% commission for cumulative transactions exceeding € 50,000.
- Bank transfer with NO cost to the beneficiary, addressed to:

Name changes
Name changes can be made before 1 October 2025. After this date, name changes will no longer be possible.
Important note: An ESMO Member registration can only be replaced by another ESMO Member with the same category.

Voucher redemption:
Names cannot be changed for voucher tickets.
Cancellation and refund policy
Registration refunds will be granted if notification of cancellation is sent in writing to the ESMO Congress Secretariat before 20 August 2025. After this date, refunds will not be made. Refunds are issued based on the payment method used at the time of purchase.
Congress participant badge
The congress badge is personal and the only official proof of registration. Participants not wearing their badges will not be granted access to the congress venue. EUR 150 will be charged to participants who forget or lose their badges. ESMO will reprint the forgotten badges upon receipt of a credit card guarantee. If the original badge is returned to the Registration desk the next day, the holding fee will be cancelled. Reprinting, if necessary, is only possible once, upon proof of such circumstances.
